Item not found error with Webgility Online

While posting orders, if the ordered item is not found in QuickBooks, Webgility will move those orders to the error tab.

To check these error orders, please go to Accounting> Orders> Error tab,

Here, If you hover the mouse on the Error icon (i) under the Detail section for the order, it will show the order details "Order rejected because item(s) was not found in QuickBooks". (Image below).

To resolve this issue, you will need to download the product data in QuickBooks from scratch. To do this please go to Settings> Accounting> Products

Under the dropdown on the top, please select the option "Download from scratch” and click the “Refresh” button.

This will give you a pop-up for confirmation, please click “YES” on this

Once the product data is updated, please also enable the product mapping option on the same settings window.

In Webgility Online, you have the option to map the product if it is not found in QuickBooks while posting the order to QuickBooks accounting.

To enable this option, please follow the steps mentioned below. This will be on the same page Settings> Accounting> Products.

For the option, “if product NOT found then”, please select the “Map Item” under the dropdown and click "Save".

Now, please go to Accounting> Orders> Error tab, and select the orders you want to post. If items that were not found to match in Quickbooks now match after getting the latest product details, the order will be posted without an error.

If the ordered item is still not found to be matching with any existing item in Quickbooks, you will get a pop on the screen asking you to map the products.

Here, you will see all the missing order item SKU# on the left column and the dropdown option under the QuickBooks Item Name on the right side column,

Please select the relevant QuickBooks item from the dropdown for the missing order items.

Once selected, click on the map and then the orders can be posted to QuickBooks successfully.

Note: Webgility Online will remember this mapping for future orders.

Please also note if the automation is enabled for order posting, then for all the orders for which items are not found in QuickBooks, Webgility will move those orders to the error tab.

To post these orders, Go to Accounting> Orders> Error tab,

Select the orders you want to post and you will get the window to map the products and post the orders.
