Overview:

Webgility Desktop provides a feature to manage Personally Identifiable Information (PII) to ensure data privacy and compliance. PII includes sensitive customer information such as first name, last name, address, phone number, email, etc.

As part of this feature, Webgility Desktop automatically removes customer data from orders stored in the Webgility Desktop database (only) if they are older than 30 days. However, there may be cases where orders are still pending for QuickBooks posting, and the missing customer data could cause errors during the customer matching process while posting orders.

How to process orders with missing PII data:

  1. Navigate to Dashboard

  2. Go to the tab that has the order (missing PII) and pending for QuickBooks posting.

  3. Select the order and re-download.

  4. Once done then try to post the order again.

NOTE: In case of Amazon marketplace, it does not provide customer information for FBA orders

Additional Tips:

  • Ensure that orders are posted to QuickBooks within 30 days to prevent automatic data deletion.

  • Regularly review unposted orders and take necessary actions before the data retention period expires.
