Shopify Order Not Posting to QuickBooks Due to Incorrect Product Mapping

This guide explains how to troubleshoot Shopify orders that are downloaded into Webgility Desktop but do not post to QuickBooks Desktop. The primary focus is verifying the affected order and correcting any incorrect or missing product mappings caused by SKU mismatches. After updating the mapping, repost the order and verify that it appears correctly in QuickBooks.

If a Shopify order is downloaded into Webgility Desktop but fails to post to QuickBooks Desktop, the issue is often caused by missing or incorrect product mapping. Before adjusting product mappings, refresh your product data so Webgility has the latest item information from both platforms:

Step-by-Step Instructions

Step 1: Correct the Product Mapping

  1. In Webgility Desktop, navigate to Products > All Products.
  2. Search for the affected Shopify product or SKU.
  3. If an incorrect mapping exists, clear or remove it.
  4. Select the correct QuickBooks item to pair with the Shopify product using manual search, one-click mapping, or recommended mapping.
  5. Save your changes to update the mapping rule.

Step 2: Repost the Affected Order

  1. If the order previously failed or needs to be refreshed, locate it in the Errors tab or New Orders tab.
  2. Select the order and click Post to QuickBooks.
  3. Open QuickBooks Desktop to verify that the transaction posted successfully.
