Resolving Inventory Sync Issues in Webgility Online Due to Duplicate SKUs

This article helps Webgility Online users identify and resolve inventory synchronization errors between their sales channel and QuickBooks Online caused by duplicate SKUs. It explains how duplicate SKUs can disrupt sync processes, lead to inaccurate inventory data, and cause order posting failures. Step-by-step guidance is provided to help users detect and fix these duplicates for smooth and accurate inventory synchronization.

 Identifying Duplicate SKUs

To detect duplicate SKUs, follow these steps:

  1. Export Product Lists
Export the full product list from both the store platform and QuickBooks (CSV or Excel format is recommended).

  2. Scan for Duplicates in Spreadsheet Software
Use spreadsheet tools such as Excel or Google Sheets to identify duplicate SKUs.

    • Tip: Apply conditional formatting or use the COUNTIF function to highlight duplicate SKU values.

  3. Cross-Reference Across Systems
Compare SKU data between the two exports to identify:

    • Duplicates within QBO.

    • Duplicates across both the store and QBO referencing different items.

✅ Resolving Duplicate SKUs

Once duplicates are identified, users should take the following actions:

  1. Review and Decide Which SKU to Keep
Select the correct product entry to retain—typically the one with the most accurate inventory, sales history, and integration links.

  2. Update or Remove Duplicate Entries

    • In QuickBooks Online:

      • Navigate to Products and Services.

      • Locate all instances of the duplicate SKU.

      • Edit each duplicate item:

        • Assign a unique SKU (e.g., by adding a suffix like -01).

        • Save the updated item.

    • In the Store Platform:

      • Use the Edit Product or Delete Product function to either rename the SKU or remove the duplicate listing.

  3. Refresh Inventory Data Sync
