How To Resolve Shopify Payout Incomplete Status

This article explains to Webgility Desktop users about the “Shopify Payout Incomplete Status” issue that may appear in Webgility Desktop after syncing a Shopify Payout Report. The issue occurs when some transactions within the payout remain unposted to QuickBooks, resulting in an incomplete payout status. The article provides steps to modify the apiConfig.xml file to include a missing customization node, followed by re-downloading and reposting the payout to ensure all transactions are successfully synced.

Cause of the issue:

After syncing the Shopify Payout Report, users might see the Payout posting is Incomplete in the Pending tab, look for the incomplete icon under Status Column as shown in the screenshot below. This usually happens because there are still some transactions remaining which are not yet posted to QuickBooks.


Step 1: Close the App

  • Close Webgility Desktop and Scheduler (if running) on all the machines

Step 2: On all the required Webgility Desktop machines, navigate to the apiConfig.xml File

  • Open File Explorer on your computer.
  • Go to the following path: C:\Webgility\UnifyEnterprise\XML 
  • Locate the file named apiConfig.xml.

Step 2: Edit the apiConfig.xml File

  • Right-click on apiConfig.xml and select Open With Notepad.
  • Scroll down to the last 3-4 lines of the document. 
  • Copy and paste the following customization node before the closing tags:

“<CustomizationNode>SHOPIFY_SHOPCASH_CHARGE_ADJUSTMENT_AMOUNT</CustomizationNode>”


Step 3: Save the "apiConfig.xml" file then and relaunch Webgility Desktop as well as Scheduler (if running)

  • Click File menu and Save.
  • Close the file.
  • Restart Webgility Desktop as well as Scheduler (if running).

  • Open the Webgility Desktop, navigate to Orders then Shopify and go to Payouts, select the payout and click on Undo Sync.
  • After Unsyncing the report from QuickBooks we need to re-download the report, you may refer to on How to re-download a Shopify payout report in Webgility Desktop.
  • Once the Payout Report is redownloaded, re-try posting it.
