How to Gauge Performance with the Webgility Online Dashboard

Understand how profitable and healthy your business is at any time with the Profitability Dashboard.

Webgility includes a profitability dashboard for all of your sales channels. This dashboard will allow you to see the health and profitability of your business at any given time.

What metrics are included?

There are five key metrics that Webgility automatically displays from your downloaded sales channel transactional information. Each widget displayed on the dashboard is listed below, with details on how the numbers are calculated.


1. My Cash Flow

This displays your revenue versus your expenses at intervals throughout the period selected. This will help you to visualize variations in your cash flow over time.

  • Revenue = Product Sold - Discounts + Shipping Collected + Tax Collected, this is an aggregation of the total that customers were charged while placing orders.

  • Expenses = The Absolute Value of [COGS + Processing Fees + Shipping Paid + Taxes to be Paid].

    Note: At this time refunds are not included in the calculations, however once included this will be a reduction of the revenue, not an expense.

2. Channel Revenue

This displays your revenue, overlaid with your total number of orders at intervals throughout the period selected. This will allow you to see your average order value over

Time.

  • Revenue = Product Sold - Discounts + Shipping Collected + Tax Collected, this is an aggregation of the total that customers were charged while placing orders.

  • Number of Orders = The total number of orders in the interval of the time frame selected.

  • Average Order Value = Revenue divided by number of orders. This is displayed as you hover your cursor over each interval.

3. Profit & Loss

This displays your revenue versus your expenses, aggregated together over the period selected. The net income will show you how much money you made or lost.

  • Net Income = Revenue - Expenses, aggregated for the period selected.

  • Revenue = Product Sold - Discounts + Shipping Collected + Tax Collected, this is an aggregation of the total that customers were charged while placing orders aggregated for the period selected.

  • Expenses = The Absolute Value of [COGS + Processing Fees + Shipping Paid + Taxes to be Paid], aggregated for the period selected.


4. My Expenses

Webgility can capture expenses such as Taxes, Shipping Expenses, Processing Fees, and Product Costs of Goods Sold. This display will help you see each expense category about others for the period selected.

  • Each Slice % = Expense Category divided by Total Expenses (same total number used in the P&L Chart), for the period selected. You can hover your cursor over each slice to view the exact amount for each category.


5. Orders Posted

This display will show you how many orders are in a posted, versus error, versus open state. If an order is in the error or open state you can click on that slice and be taken directly to orders in that list to post or correct the error. You will want to strive for this to display 100% posted.

  • Each Slice % = Status Category divided by Total Orders Downloaded, for the time period selected. You can hover your cursor over each slice to view the exact amount for each category.



My Orders List

The last display is a list of your most recent orders. This is not dependent on the period selected. Instead, this will always show the Top 10 most recent orders for an individual sales channel or all of your sales channels.

​Click on any order to see order details. This includes a profitability report tab so that you can drill into order-level profitability information right from the dashboard.

​Click View More to see all of your transactions that are downloaded in Webgility.

What else should I know?

There are a few situations in which your profitability dashboard could look slightly different.

  • No Orders

    If there are no orders for the sales channel selected you will see no information in the profitability dashboard. You will also see a red alert banner near the top of the profitability dashboard indicating that you need to connect a sales channel that contains orders.

If you hover over any empty widget, you will see an animation showing sample data of what the graphic could display once there is data available to display.

​When sample data is being displayed it will be tagged with a Sample label so that it is clear that it is not real data.

  • Downloading

    When Webgility is in the process of downloading information, you may see a downloading spinner and label next to each display.

    This makes it clear that the information displayed on the profitability dashboard will likely change after the download is complete. This should be complete in a few minutes, but try refreshing the page if needed.

  • Missing Historical Data

    Webgility will automatically download the last 30 days of transactions when you first sign up and will continue to download new orders every day following.

    If you select a period beyond your first order downloaded then you will see a red alert banner near the top of the profitability dashboard. This indicates that historical data is missing from showing a complete profitability picture.

    To address this you can simply click to request historical data, which will immediately contact our team.

  • Missing Connections for Expenses

    If you want to get a complete picture of your profitability, Webgility will need additional information that is not visible from your sales channel.

    First, you will need to connect your shipping service so Webgility can match shipping expenses to orders placed. You will also need to connect your payment processor so that Webgility can match processing fees to orders placed.

    You can also track Product COGS by matching and syncing product SKUs in between your sales channel and your accounting software. Matching and syncing product SKUs will also help keep track of inventory levels across all of your sales channels if you are a multi-channel seller.

    On the profitability dashboard, if it is detected that there is a missing connection or inaccurate information for the expenses being displayed you will see a red alert banner. This banner will notify you of any inaccuracies and prompt you to fix it so that you have reliable data to review.
