How to Prepare QuickBooks Online for Webgility Online

Set up QuickBooks before connecting to Webgility.

This article can be used to guide you through the process of getting your QuickBooks Online company file set up before it is connected to Webgility. There are several data points in QuickBooks Online that need to be enabled that will be used to configure your settings within Webgility.

1. Login to QuickBooks Online and look for the gear icon in the top right corner.

2. You will then need to click on Account and Settings.
​

3. In the window that opens click on Sales. Then click on the pencil icon in the right corner of the sales form content section.

4. Enabling sales transaction data points will help you to configure how Webgility will create transactions, inventory, discount items, and shipping charges from orders.

  • Shipping: this enables QuickBooks Online to track shipping charges that are in your online orders. You need to enable this to properly account for the revenue from your customers who pay for shipping. (2a)

  • Custom Transaction Numbers: enable this if you would like your QuickBooks Online transaction numbers to match your online order numbers. (2b)

  • Discount: This is used to record discounts from orders that originate in online sales channels. This enables discount items to be utilized. The discount item in the sales channel can be mapped to the discount item you would like to use to track discounts in your online sales channels. (2c)

  • Deposit: this can be enabled if you are using invoices and need to activate the deposit to account for paid invoices, or to pay an unpaid invoice. (2d)

5. Enable product inventory data points in QuickBooks Online

  • Show Product/Services column on sales forms: enable this if you need to adjust any of the inventory items that are created for a transaction in QuickBooks Online. (3a)

  • Show SKU Column: display the SKU column for your products and services. The SKU column and the Product Name columns are interchangeable in QuickBooks Online. (3b)

    Note: it's best to decide which column, either Product name or SKU, will be used in your item matching settings within Webgility Online.

  • Track quantity and price rate: this must be enabled to not only track quantity but also sync quantity and price between QuickBooks Online and your online sales channels with Webgility Online. (3c)

  • Track inventory quantity on hand: enable this to track available stock for each product you sell and sync that between QuickBooks Online and the online sales channel. (3d)

4. Enable advanced settings in QuickBooks Online by selecting the Advanced tab.

  • Shipping account: if you have enabled shipping in your sales form tab you can name the specific account for the shipping revenue to display in. (4a)

  • Discount account: if you have enabled tracking of discounts in your sales form tab you can name the specific account to track your discount expenses. (4b)

  • Track classes: if you are a multi-channel seller and would like to assign a class to each online sales channel that is connected and configured within Webgility Online, enable this. (4c)

  • Track locations: if you are using Amazon FBA and need to make an inventory level distinction between the inventory you physically have versus inventory that is in another location such as FBA or warehouse - you can enable this to track multiple locations for your inventory. (4d)
