Using Company Matching in Webgility Desktop to Manage Shopify B2B Orders

Webgility Desktop now supports Company Matching for Shopify B2B orders, allowing you to accurately map and post Shopify B2B transactions into QuickBooks Desktop under the correct company records. This feature helps you distinguish B2B from B2C activity, organize multi-location business customers, and maintain cleaner financial data.
Note: This feature is available only for Shopify B2B sales channels.

How to Set Up Company Matching
1. Navigate to Sync Settings
- Open Webgility Desktop
- Go to Connections > Accounting / POS / ERP
- Click on Sync Settings
- Enable Company Matching
- Under Customers Settings, locate the option:
Enable B2B Company matching criteria for orders - Check the box to enable it
- Define Matching Criteria
From Shopify (Sales Channel), choose:
- CompanyID + LocationID
- CompanyID + LocationID + Company Name
- CompanyID + Company Name
- Company Name + LocationID
- Company Name + Location Name
- Company Name
From QuickBooks Desktop, choose:
- Customer Name
Tip: Choose the combination that most closely reflects how your customers are structured in both platforms.
4. Set a Rule for Missing Companies
If the matching criteria do not find a customer in QuickBooks Desktop, you can choose one of the following fallback actions:
- Create a new customer in QuickBooks Desktop based on the criteria
- Mark an error and allow you to create the customer manually
Select your preferred option and click Save and Continue
5. Test the Integration
- Process a test order from your Shopify B2B store
- Post it through Webgility Desktop and verify that it:
- Maps to the correct QuickBooks Desktop customer
- Appears with expected B2B customer details in the QuickBooks Desktop transaction
- Maps to the correct QuickBooks Desktop customer
