Understanding Order Flags in Webgility Online

This article helps users understand the purpose and functionality of Order Flags in Webgility Online and how they assist in preventing posting errors. It explains what order flags are, where flagged orders can be viewed, the recommended steps for resolving them, and the overall benefits of reviewing flagged orders before posting. By understanding how Order Flags work, users can proactively address potential issues, improve posting accuracy, and ensure a smoother synchronization process between their sales channels and accounting system.

What are order flags?

Order flags highlight orders that may encounter errors when posted. We surface these orders so you can review and resolve any issues before posting, increasing the likelihood of a successful sync.

Where can I see flagged orders?

Flagged orders appear in the Flags tab on the Orders page. Note that flagged orders will not appear in the New Orders tab until the flag is resolved.

What should I do with flagged orders?

Open the Flags tab and review each order. The Action Needed column describes the recommended steps to resolve each flag. Once you've completed the suggested action, the order will automatically move back to New Orders, ready to post.

If the order doesn't move back on its own, you can post it directly from the Flags tab — you don't need to wait. Successfully posted orders will appear in the Posted tab. You'll also have the option to refresh or ignore individual flagged orders from this tab.

What's the benefit?

Reviewing and resolving flags before posting reduces errors and leads to a higher rate of successfully synced orders.

FAQ

I don't want to take the suggested action — can I post the order as-is?

-Yes. You can post any order directly from the Flags tab. If it encounters an error, it will move to the Errors tab. If it posts successfully, it will appear in the Posted tab.

I completed the suggested action, but the order is still in the Flags tab. Why?

-This is usually due to a delay in refreshing order data. You can either post the order directly from the Flags tab or wait a few moments for it to move automatically.

I use automated order posting. Do I still need to review flagged orders?

-When automation is enabled, all orders — including flagged ones — are submitted for posting. That said, we recommend reviewing flagged orders before they're processed to minimize the chance of posting errors.
