Troubleshooting Payout Report Posting Errors in Webgility Desktop

This article helps Webgility Desktop users resolve issues where Shopify payouts are not posting to QuickBooks Desktop.

Typical Symptoms:

  • Errors occur when attempting to post payout reports.

  • Automated posting attempts fail without a clear error message.

  • Payouts are not reflected in QuickBooks or your accounting platform.


Resolution Steps:

1. Ensure Webgility Desktop is Updated

If you're unable to log in to Webgility, please reinstall the application from portal.webgility.com.
If you're able to log in, go to Help > Check for Updates > Update to make sure you're on the latest version.


2. Remove and Re-download the Payout

  • Go to the Payouts section.

  • Select the payout in question.

  • If it is partially posted, click Undo Sync.

  • Click the Remove button, then re-select the payout and click Redownload.


3. Retry Posting the Payout

  • After re-downloading, try posting the payout again.

  • If you receive an error, click on it to view details.

  • Note the order number mentioned in the error message.


4. Undo and Repost Related Orders

  • Go to the Posted Orders tab.

  • Search for the order(s) mentioned in the error.

  • Click Undo Sync for those orders.

  • Return to the Payouts section and post the payout again.

This will automatically include and post any pending orders associated with the payout.
