Troubleshooting Payment Method Mapping Issues Causing Order Posting Failures in Webgility Desktop

This article helps Webgility Desktop users troubleshoot order posting errors between Webgility Desktop and QuickBooks Desktop caused by unmapped or unknown payment methods. It guides users through identifying missing links between payment types in their sales channels and QuickBooks Desktop, and provides steps to update payment method mapping settings to resolve the issue.

Overview

Unmapped payment methods are a frequent cause of sync issues in QuickBooks Desktop integrations. By ensuring all external payment types are properly mapped to QuickBooks Desktop equivalents, you can eliminate these errors and maintain smooth data flow between systems.

Common Symptoms

  • Sync failures during order posting to QuickBooks Desktop

  • Error messages referencing an "unknown" or "unmapped payment method"

  • Missing payment entries in QuickBooks Desktop from integrated systems

Support Workflow: Step-by-Step

1. Confirm the Error

  • Review the error message or logs shared by the customer

  • Look for any references to specific payment methods not mapping correctly

  • Confirm that the error is related to QuickBooks Desktop payment method mapping

2. Access Payment Mapping Settings

  • Log into the integration platform (e.g., Webgility or connected admin dashboard)

  • Navigate to:
    Connections > Accounting/POS/ERP > Sync Settings > Payment Mappings

3. Locate the Unmapped Payment Method

  • Identify the payment method listed in the error
  • Compare it to the existing mappings
  • If the payment method is missing or listed as unassigned, it needs to be mapped

4. Create or Update the Payment Mapping

  • Click on the unmapped payment method

  • From the Map to QB Payment Method dropdown, choose the correct corresponding option (e.g., “Credit Card”, “PayPal”, “Cash”)

  • Click Save to apply the new mapping

5. Re-Test the Sync

  • Initiate a manual data sync
  • Confirm that:

    • The sync completes successfully

    • No further payment mapping errors appear

The payment information correctly posts to QuickBooks Desktop
