Setting Up Webgility Desktop to Sync Only Paid Orders from Shopify

This article helps Webgility Desktop users configure Webgility Desktop to download only paid orders from their Shopify channel. It guides users through updating order download settings and ensuring the Webgility Desktop app and scheduler are properly set up to filter out unpaid or canceled orders, keeping order syncs clean and accurate.

Step-by-Step Instructions

1. Update Order Download Settings

To ensure only paid orders are pulled from Shopify:

  1. Open Webgility Desktop

  2. Navigate to:
    Connections > Sales Channels > Advanced Settings

  3. Click Other

  4. Check box 'Overwrite Shopify order download settings'.

  5. Check the boxes for:

    • Paid & Unshipped

    • Paid & Shipped

  6. Uncheck or remove any of the following:

    • Unpaid

    • Cancelled

    • Pending

  7. Click Save to apply your changes

2. Upgrade the Webgility Desktop Application

Keeping your application up to date ensures the latest order filtering works as expected:

  1. In Webgility Desktop, go to Help > Check for Updates

  2. If an update is available, follow the prompts to install it

  3. Restart Webgility Desktop once the update completes

3. Restart the Webgility Desktop Scheduler

To apply changes to automated downloads:

  1. Open the Webgility Desktop Scheduler Utility on your host machine

  2. Click Stop Scheduler and wait for it to stop

  3. Click Start Scheduler again to resume downloads with updated filters

  1. Test the Order Download

Make sure everything’s working as expected:

  1. Go to Orders > Download Orders

  2. Manually trigger an order download

  3. Confirm that only paid orders (shipped or unshipped) are imported into Webgility Desktop
