Resolving Missing Unfulfilled Shopify Orders in Webgility Online

This article helps Webgility Online users troubleshoot and resolve missing recent Shopify orders especially unfulfilled ones in Webgility Online that aren’t syncing to QuickBooks Online, providing step-by-step guidance to fix the issue.

✅ Step 1: Identify the Missing Orders

  1. In Shopify Admin, go to the Orders tab.

  2. Filter for:

    • Unfulfilled or Partially Fulfilled

    • Open status

  3. Export a list of recent orders and cross-check with what’s visible in Webgility Online under Sales > Orders.

  4. Note any order numbers and dates that are present in Shopify but missing in WO.


⚙️ Step 2: Check Order Download Settings in Webgility

  1. In Webgility Online, go to:

    • Connections > Sales Channel > [Your Shopify Store] > Order Settings

  2. Confirm that the correct Order Statuses (e.g., Unfulfilled, Open) are selected for download.

  3. Click Save if any changes were made.


🔁 Step 3: Reconnect Your Shopify Store

  1. Navigate to Connections > Sales Channel > Manage Stores

  2. Click Reconnect next to your Shopify store.

  3. Follow the prompts to re-authenticate your store connection.


🔄 Step 4: Refresh and Redownload Orders

  1. Go to Sales > Orders in Webgility Online.

  2. Click the Refresh Icon 🔄 in the top-right.

  3. This will re-initiate the order download. Wait a few minutes and check if the missing orders appear.


📁 Step 5: Check Date Range Filters

  1. If orders are still missing, go back to your Order Settings.

  2. Look for any Date Range restrictions—the system may be set to download only recent orders.

  3. Extend the Start Date to a week before the earliest missing order.
