Resolving Item Mapping Problems for Accurate Inventory Sync in Webgility Desktop

This article helps Webgility Desktop users fix item mapping issues in Webgility Desktop by guiding them through downloading item data from both the sales channel and QuickBooks Desktop, and completing the mapping process to ensure accurate inventory sync across connected channels.

Step-by-Step Resolution

1. Verify the Item Mapping

  • Go to Products Tab and Under Sales Channel All Products  Click on the View dropdown  on the right hand-side and select Mapped.

  • Identify the impacted SKUs by reviewing the Order History tab details.

2. Download Item Data

  1. Navigate to Connections go to Sales Channels and click on Advanced Settings.

  2. Click Clear for both:

    • Last Download Date for QuickBooks Items

    • Last Download Date for QuickBooks Customers

  3. Click Save and Close.

  1. Go to Connections >then Get Latest Data & Settings.

  2. Click the drop-down next to Download Data and select Re-Download All Data.

  3. Wait for the process to complete—it may take a few minutes based on your data size.

  4. If sales channel data appears outdated, click the Download Data button again to refresh settings.

4. Perform Item Mapping

  • Navigate to Product Tab and go to Missing in QuickBooks.

  • Select the products you want to map and click Map Product.

  • In the pop-up, choose either One Click Mapping or Auto-recommendation.

    • For One Click Mapping, select the appropriate QuickBooks field (e.g., Manufacturer Part#, Barcode, Sub-Item) that matches your store SKU, then click Continue.

    • If mapping is successful, choose to continue mapping other products or skip for now.

    • For Auto-Recommendation, review the suggested matches from QuickBooks, select the correct item, and click Map Product.

    • If no match is found, use Manual Mapping by clicking Search for correct match, find the correct QuickBooks item, and map it.

5. Verify and Finalize Mapping

  • After completing the mapping, navigate to Products > All Products > Mapped filter..

  • Confirm that all items are properly mapped and visible in the system.

  • Run a test sync or transaction to ensure that item data flows correctly between Webgility and your sales channel.
