Resolving ‘Ignored’ Orders That Don’t Post to QuickBooks or Affect Amazon Settlements

Orders in the ‘Ignored’ tab do not sync or post to QuickBooks Desktop, which may result in missed or delayed settlement postings. To resolve this, you’ll need to move those orders back to the ‘New Orders’ tab and follow a few best practices, especially if you're managing thousands of transactions.


How to Fix the Issue

1. Identify and Move Ignored Orders

To ensure ignored orders can be posted to QuickBooks Desktop:

  • In Webgility Desktop, navigate to the Orders page.

  • Click on the ‘Ignored’ tab to view all excluded orders.

  • Select the orders that need to be processed.

  • Use the ‘Move to New Orders’ option to re-queue them for posting.

Once moved, these orders will appear in the ‘New Orders’ tab and be eligible for posting.


2. Post Settlements to QuickBooks Desktop

Now that the orders are re-queued:

  • Go to the ‘New Orders’ tab in Webgility Desktop.

  • Select the orders you want to post.

  • Click Post to QuickBooks Desktop.

  • Wait for the posting to complete and verify that no errors appear.


3. Optimize for High Transaction Volumes

If you regularly process over 4,000 orders, follow these steps to help improve performance:

Create a New Customer in QuickBooks Desktop

  • Open QuickBooks Desktopand create a new customer, such as "Online Sales Aggregate".

  • This helps group large order volumes for more efficient settlement posting.

Update Your Customer List in Webgility Desktop

  • In Webgility Desktop, go to Connections > Get Latest Data and Settings > Download QuickBooks Data > Customers

  • Click Download or Refresh to sync your updated customer list.

  • Now, you can assign the new customer to applicable orders during settlement posting.

This process reduces processing load and minimizes posting delays or errors.
