Release notes for Webgility Online v8.63.0
Webgility Online v8.63.0 introduces improvements to payment posting, Amazon settlement accounting, VAT tracking, order updates, and Shopify order management.
Whats New
This release includes new features and enhancements designed to provide more accurate accounting, reduce unnecessary changes to QuickBooks transactions, and give you greater control over how Shopify orders are posted.
Split-Tender Payment Posting
Webgility Online now supports posting orders paid using multiple payment methods, such as a combination of a gift card and credit card.
Previously, when an order was paid using multiple payment methods, there was no direct way to accurately record the payment as a QuickBooks Sales Receipt because a Sales Receipt supports only one payment method.
With this enhancement:
- The full payment amount is initially posted to the account selected as Everything Else under the Chart of Accounts settings.
- Webgility then creates a Journal Entry to split the payment amount between the appropriate payment accounts.
- The same functionality is supported for refunds.
- Undo Post is also supported for these transactions.
This allows businesses that accept split or partial payments to maintain more accurate payment records in QuickBooks without requiring manual accounting adjustments.
Amazon Settlement Accrual Posting
Amazon settlements are often received after the orders and fees they relate to. This timing difference can cause revenue to appear in one accounting period while the associated Amazon fees appear in another.
Webgility Online now provides an Amazon Settlement Accrual option that groups settlement fees according to the month of the orders they relate to.
When enabled, this helps align:
- Order revenue with the related Amazon settlement fees
- Revenue and expenses within the appropriate order month
- Monthly financial reporting with the period in which the underlying sales occurred
How it works
This is an optional setting that you can enable in Webgility Online. It will remain optional when the feature becomes available to all customers.
Amazon Marketplace Facilitator VAT as a Separate Line Item
Webgility Online now posts Amazon Marketplace Facilitator VAT as a separate line item in QuickBooks.
In markets where Amazon collects and remits VAT on behalf of the seller, this amount was previously included within other totals, making it more difficult to identify and track.
With this enhancement, the VAT collected by Amazon is displayed separately, making it easier for businesses and accountants to:
- Identify the Marketplace Facilitator VAT amount
- Review VAT-related transactions
- Reconcile accounting records
- Track VAT collected by Amazon
Webgility Online now handles certain order updates more efficiently.
Previously, when an order changed, Webgility could delete and recreate the corresponding QuickBooks Sales Receipt—even when the only change was to a fee, such as a shipping fee.
With this release, fee-only changes update the existing Sales Receipt instead of deleting and recreating it.
This helps preserve existing transaction relationships and reduces unnecessary disruption to transactions that may already have been reconciled.
What changes still trigger the previous behavior?
This enhancement currently applies specifically to fee-only changes.
Other order changes, such as changes to item quantities, may still cause the Sales Receipt to be deleted and recreated.
Note: QuickBooks Invoices are not affected by this behavior. Invoices have always been updated in place rather than deleted and recreated.
Shopify Tag-Based Posting
Webgility Online now gives you more control over how Shopify orders are posted by allowing you to use Shopify order tags in your posting rules.
Previously, posting rules could be based on broader criteria such as:
- Store
- Order type
- Payment method
With Shopify tag-based posting, you can create rules based on the tags assigned to your Shopify orders.
For example, you can use tags such as:
- Wholesale
- VIP
- Needs Review
This allows you to apply different posting configurations to orders based on the way you organize them in Shopify, without needing to create separate store configurations.
Benefits
Shopify tag-based posting can help you:
- Route specific orders using different posting rules.
- Separate orders based on internal workflows.
- Apply accounting configurations to specific order groups.
- Reduce the need for separate store setups.
