Reconciling Sales and Settlement Discrepancies Between Amazon and Webgility Desktop

These differences typically arise because Amazon’s settlement reports use billing cycles, while sales data may be grouped by order date. The article explains this distinction and offers guidance for accurate reconciliation.

Why This Happens:

  • Amazon settlement reports are based on payout cycles, not individual orders.

  • Comparing order-date-based totals with settlement-based reports can result in apparent discrepancies.


Steps to Review and Reconcile:

1. Review the Settlement Report in Webgility Desktop

  • Open Webgility Desktop.

  • Go to the Settlement section.

  • Select the relevant settlement period.

  • Click to view detailed sales, refunds, Amazon fees, and payouts.

2. Cross-Check with Amazon Seller Central

  • Log in to Amazon Seller Central.

  • Navigate to Reports > Payments.

  • Download both the Settlement Summary and Settlement Details for the same time range.

  • Make sure the date range matches the period selected in Webgility Desktop.

3. Compare Totals

  • Review key values: Total Sales, Refunds, Amazon Fees, and Payouts in both systems.

  • Discrepancies are normal if comparing reports based on different date logic.


4. Adjust Payment Date Settings in Webgility Desktop

To align your accounting records with Amazon’s settlement structure:

  • Go to Connection > Accounting > Sync Settings > Orders.

  • Enable the setting:
    “Create payment when settlement report posts with ‘Payment date as deposit date’.”

  • Then navigate to Expense and Fee Settings and ensure each transaction uses the
    “Deposit date” as the transaction date.
