Managing Product Matches and Updates Manually in Webgility Online
This article helps Webgility Online users resolve automatic product matching failures caused by naming discrepancies or unmatched SKUs. It explains how to manually match sales channel products to QuickBooks Online items and update previously matched records.
Step 1: Access the Product Catalog

Log in to Webgility Online.

Navigate to Products > Product Catalog.
Tip: Use the gear icon (⚙️) in the top-right corner of the Product Catalog to access and verify your Product Matching Settings.

Matching is based on criteria such as SKU, Product Name, or custom fields.

Step 2: Identify Unmatched Products
The Product Catalog includes tabs to help locate unmatched items:

Missing in QuickBooks: Lists products from your sales channel (e.g., Shopify) that do not match any QuickBooks items based on matching settings.

Missing in [Sales Channel]: Lists QuickBooks products that are not found in the connected sales channel (e.g., Shopify).
Step 3: Manual Matching for Unlinked Items
Products highlighted with a red check mark (Not in QuickBooks) indicate a mismatch between the sales channel and QuickBooks item.
To manually match:

Locate the product in the Missing in QuickBooks tab.

In the QuickBooks Product SKU/Name field, open the dropdown.

Select the appropriate product from your accounting system.

Click Manual Match to confirm.
Match Using AI Suggestions (Optional)
Webgility's built-in AI helps identify potential product matches.

AI suggestions are marked with a ⭐ star icon and labeled AI Suggested.

To confirm an AI match:

Review the suggestion under the QuickBooks Name and SKU columns.

Click Confirm Match to finalize.

View or Update Matched Items
Manually Matched Tab

Displays all items manually linked between QuickBooks and the sales channel.

To Unmatch a product:

Select the item.
-
Click Unmatch.

The item will return to the Missing tab for re-matching.
