Introducing the New Chart of Accounts Tab in Webgility Online

In this article, you’ll learn how to use the new Chart of Accounts tab in Webgility Online to manage all clearing account settings for orders, refunds, and fees from one place. You can map each payment gateway (like PayPal or Shopify Payments) to the correct clearing account in QuickBooks Online, helping you centralize your settings, improve accuracy, and simplify month-end reconciliation.

Overview:

Managing your accounting settings just got easier! With the new Chart of Accounts tab in Webgility Online, you can now configure all your chart of accounts in one place no more switching between multiple settings tabs.


This feature helps you send your money exactly where it needs to go and makes month-end reconciliation faster than ever.

Why use the Chart of accounts tab?

Previously, you had to configure payment accounts for orders, refunds, and fees in different places. Many businesses ended up routing all transactions into a single Undeposited Funds account, making reconciliation a headache.


The new Chart of Accounts tab fixes that by:

  • Centralizing Settings: Manage all your account mappings from one screen.
  • Improving Accuracy: Map each payment gateway (Shopify Payments, PayPal, etc.) to its own clearing account for cleaner, more precise data.
  • Saving Time: When your data is clean and properly routed, reconciling and closing your books at the end of the month becomes a breeze.


 

Notes: 

This feature is available for:

  • All new businesses (except those with multiple Amazon stores).
  • Existing businesses that haven’t defined any order rules yet.

 


How to Set Up Your Chart of Accounts?

You can set up your accounts in just a few clicks:

  1. In Webgility Online, navigate to Sync Settings and open the new Chart of Accounts tab.
  2. You’ll see sections for Orders, Refunds & Fees.

 

Map Clearing Accounts for Orders

Here you can direct Webgility Online, which clearing accounts to use for sales from different payment gateways:

  • Payment Gateway: Webgility automatically detects payment gateways used in the last 30 days. Select one from the dropdown menu.

  • Clearing Account: Choose the clearing account from QuickBooks Online that matches the selected gateway.

  • Add new mapping: Use the + icon to add another payment gateway mapping.

  • Everything Else: Any payment gateway not specifically mapped will default to the account you select here (usually Undeposited Funds).

 

Map Clearing Accounts for Refunds

Here you can specify where to post refund-related amounts.

  • Use the same clearing account(s) as Orders? (Default: ON)

    • If ON: Refunds will post to the same clearing accounts as your orders.
    • If OFF: You can map refunds to separate accounts, just like you did for orders.

 

Map Clearing Accounts for Fees

Here you can specify where to post fees-related amounts.

  • Use the same clearing account(s) as Orders? (Default: ON)

    • If ON: Fees will post to the same clearing accounts as your orders.
    • If OFF: You can map fees to separate accounts, just like you did for orders.

When you’re done, click Save to lock in your mappings.

 


Notes: 

  • After you configure the Chart of Accounts tab, account dropdowns for clearing accounts will disappear from other tabs (Orders, Refunds, Fees) to avoid confusion.
  • This feature is currently only for clearing accounts related to orders, refunds, and fees.
  • Settings for Bank Accounts for Bills will remain in their current location.
