How to Troubleshoot Sales Tax Errors When Posting Magento 2 Orders to QuickBooks Online via Webgility Desktop.

What’s Causing the Error?

This issue occurs when:

  • Magento 2 tax locations are misconfigured.

  • AST is disabled in QBO, preventing correct sales tax handling.


Symptoms

You may see the following:

  • Errors when syncing orders with sales tax from Magento 2 to QBO

  • Messages referencing invalid tax locations or failed tax mapping

  • Orders failing to post in QBO due to tax-related issues


Before You Begin: Investigation Checklist

  1. Check Magento 2 Tax Settings

    • In Magneto 2 navigate to Stores go to Taxes and click on Tax Rules.

  2. Verify AST Status in QBO

    • In QuickBooks Online on the upper right side click on the gear icon and go to Settings, then taxes

    • Confirm whether Automated Sales Tax (AST) is enabled for the company file in Tax Settings or not.

    • If AST is not enabled:

      • Click Set up sales tax

      • Complete the setup wizard to activate AST for your company profile.


Step-by-Step Resolution

Step 1: Retry Posting the Order

  1. In Webgility Desktop navigate to Connections go to Get Latest Data & Settings and download QuickBooks & Store Data.

  2. Open the impacted order in Webgility Desktop, click on the re-download button at the bottom right which will re-download the order with the latest order details.

  3. Once the order has been re-downloaded retry posting the order back to QuickBooks.
