How to Troubleshoot and Improve Webgility Desktop Performance

This article helps Webgility Desktop users troubleshoot and resolve performance issues like application slowdowns, freezing, high memory usage, or sluggish behavior. It provides practical steps to optimize system and application settings for smoother operation.

Overview

Webgility Desktop users may occasionally experience performance issues such as application slowdowns, freezing, high memory usage, or sluggish behavior. This guide outlines actionable steps to improve performance by addressing common system and application-level concerns.

Step 1: Check Webgility’s Internal Performance Monitor

  1. Launch Webgility Desktop

  2. Go to System > Performance Monitor

  3. Review memory usage and background processes

Why: Helps determine if the issue is internal to Webgility or caused by system-wide factors.

 Step 2: Disable Unused Notifications

  1. Click the Bell icon (🔔) in the Webgility toolbar

  2. Select the Gear icon (⚙️) for notification settings

  3. Turn off non-essential alerts

 Why: Reduces background resource consumption.

Step 3: Check System Memory Usage

  1. Press Ctrl + Shift + Esc to open Task Manager

  2. Click the Processes tab

  3. Sort by Memory usage

  4. End high-memory tasks not related to Webgility, SQL, or QuickBooks

Caution: Do not end essential system or business processes.

Step 4: Verify Free Space on C: Drive

  1. Open File Explorer > This PC

  2. Check available storage on Local Disk (C:)

  3. If space is low:

    • Empty Recycle Bin

    • Delete temporary/unneeded files

    • Contact IT to expand disk space

Why: Low disk space can degrade Webgility performance significantly.

Step 5: Ensure Windows is Updated

  1. Open Settings > Windows Update

  2. Click Check for updates

  3. Download and install any pending updates

🛡️ Why: Updates improve OS stability, speed, and compatibility with Webgility.

Step 6: Restart SQL Services (Primary Server Only)

Pre-conditions:

  • Perform only on the server hosting the Webgility database

  • Close Webgility & Scheduler on all connected machines

Steps:

  1. Press Windows + R, type services.msc, and press Enter

  2. Restart these services:

    • SQL Server (UNIFY) or your custom instance

    • SQL Server Browser

Why: Clears database-related slowdowns and resets connections.

 Pro Tips

 Identify SQL Instance Name

  1. Navigate to:
    C:\Webgility\UnifyEnterprise\XML

  2. Open ApiConfig.xml using Notepad

  3. Locate the <SourceName> tag — this is your SQL instance

 Optimize Backup Folder

  • Backup path: C:\Webgility\UnifyEnterprise\Backups

  • Ensure retention is set to at least 3 days

  • Periodically clear outdated backups to save space

 Optional: Run Webgility DB Utility

Use Case: If database performance lags or Webgility shows errors

Steps:

  1. Close Webgility & Scheduler on all machines

  2. Navigate to:
    C:\Webgility\UnifyEnterprise

  3. Run UnifyDBUtility.exe

  4. Perform a backup when prompted

  5. Let the optimization complete and relaunch Webgility

 Benefits:

  • Reindexes tables

  • Shrinks database size

  • Fixes minor performance-related DB errors

 Conclusion

Following these steps will help you enhance the performance of Webgility Desktop, reduce freezing or lag, and keep your environment optimized for daily operations.
