How to Route TikTok Order Deposits to a Different Account in QuickBooks Desktop via Webgility Desktop

This article helps Webgility Desktop users managing and syncing TikTok orders with QuickBooks Desktop via Webgility Desktop. It provides step-by-step instructions on updating deposit account settings through the third-party integration handling TikTok orders, ensuring that payouts are correctly routed to the appropriate account based on business requirements.

Causes of the Issue

  • Incorrect or outdated deposit account configured.

  • Changes to your payout destination that were not updated in Webgility or the integrated tool.

  • Multiple sales channels configured, causing confusion over where deposits are routed.

Step-by-Step Instructions

1. Confirm Deposit Requirements

  • Confirm which bank account or payout destination should receive TikTok order deposits.

3. Update Deposit Account Configuration

  • Open Webgility Desktop

  • Navigate to:
Connections > Accounting > Sync Settings > Orders > Posting Rules.

  • Locate TikTok under the section Select the transaction type for posting orders.

  • Next to Invoice/Sales Receipt, click on the Setup button.

  • Choose the new Deposit Account from the dropdown.

  • Click Save, then select Save and Continue to confirm your changes.

5. Trigger a Manual Order Sync

  • Navigate to Orders > Get New Orders in Webgility Desktop.

  • Perform a manual sync to download the latest TikTok orders.

  • Post a few of the downloaded orders to QuickBooks.

  • Review the posted transactions to verify that the updated deposit account is correctly applied.

Notes

This issue typically occurs when the deposit account configured in Webgility Desktop is outdated or incorrect, especially after changes made to your payout destination. It can also happen if multiple sales channels are integrated and the deposit settings are not aligned per channel. Make sure to review and update the deposit account under Sync Settings > Posting Rules for TikTok, then run a manual sync to ensure deposits route correctly moving forward.
