How to Resolve SKU Mismatch Issues for Service Items (Shopify-QuickBooks)

This article helps Webgility Desktop users in addressing SKU mismatch issues for service items when posting orders from Shopify to QuickBooks Desktop Enterprise through Webgility Desktop. The problem usually arises when a Shopify product is set as a service item, but QuickBooks Desktop creates a new item with a different name, causing order posting failures.

Overview

This guide will help you resolve issues related to SKU mismatches for service items when posting orders from Shopify to QuickBooks through your Webgility integration. This issue typically occurs when a product in Shopify is set as a service item, but QuickBooks creates a new item with a different name, preventing successful order posting.

Symptoms:

  • Order fails to post from Shopify to QuickBooks.

  • Error or mismatch due to item name or SKU differences.

  • Service items appear in QuickBooks under incorrect names.

Root Cause:

The integration is set to automatically create new items in QuickBooks, which causes service items from Shopify to post under the product name instead of the SKU. This leads to a mismatch and prevents proper order syncing.

Resolution Steps

Step 1: Review Integration Settings in Webgility

  1. Log into your Webgility application.

  2. Navigate to Connections > Sales Channels > Shopify.

  3. Open the Order Settings and locate the Item Settings section.

  4. Verify how items are handled—look for settings like Create new items in QuickBooks or Map to existing items.

Step 2: Identify Item Mismatch

  1. In Shopify, go to the product and verify:

    • SKU is correctly set (e.g., "11012").

    • Product type is marked as Service Item.

  2. In QuickBooks, search for the item created during a failed sync.

    • Check if it appears under a different name (e.g., product name instead of SKU).

Step 3: Update Item Handling Settings

  1. In Webgility, navigate to QuickBooks Settings > Product Mapping.

  2. Change the item sync setting from:

    • Automatically create items in QuickBooks
      to

    • Map items using SKU or Manually map to existing QuickBooks items.

  3. Save your changes.

Step 4: Map Service Items Correctly

  1. Go to Product Catalog > Item Mapping in Webgility.

  2. Find the Shopify product (e.g., SKU "11012").

  3. Manually map it to the correct item in QuickBooks.

  4. Ensure QuickBooks supports service item types for accurate accounting classification.

Step 5: Test Order Posting

  1. Post a test order from Shopify using the mapped service item.

  2. Confirm that:

    • The item posts correctly in QuickBooks.

    • No new or incorrectly named items are created.

    • The correct SKU and item type are used.
