How to Resolve Error While Creating New Item Due to Accounting Period has Closed in Webgility Online
This article helps users understand and resolve the “Error while creating new item. The accounting period has closed” error that may occur when Webgility creates a new product in QuickBooks Online while posting a Shopify order. It explains how a product’s inventory start date can conflict with a closed accounting period and provides steps to resolve the issue.
Why is this happening?
Webgility Online uses the Inventory Start Date configured in the product settings when processing inventory-related information.
If this date falls within an accounting period that has already been closed in QuickBooks Online, QuickBooks Online may prevent Webgility Online from creating or updating the item and return an error when the order is posted.
You can resolve the issue using either of the following methods.
Method 1: Temporarily reopen the accounting period in QuickBooks Online
If you are comfortable reopening the closed accounting period, you can temporarily reopen the books, repost the order, and then close the books again.
Step 1: Reopen the accounting period
-
Log in to QuickBooks Online.
-
Nagivage to Gear icon (for settings) and goto Account and Settings.
-
Then goto the Advance > Accounting > Closing Date.
-
Temporarily adjust the Closing Date to allow transactions for the period affected by the Webgility Online order.
-
Save the changes.

Note1: The exact location and options may vary depending on your QuickBooks Online subscription and user permissions.
Step 2: Repost the order
Return to Webgility Online and try posting the affected order again.
Once the accounting period is open, the order should be able to post successfully if there are no other issues.
Step 3: Revert the accounting close date settings back.
After confirming that the order has posted successfully:
- Return to QuickBooks Online.
- Restore the previous accounting closing date.
- Save the changes.
Method 2: Update the Inventory Start Date in Webgility Online
If you do not want to reopen the accounting period, you can temporarily change the Inventory Start Date in Webgility Online to a more recent date that does not fall within the closed accounting period.
Step 1: Change the Inventory Start Date
- Log in to Webgility Online.
- Go to Sync Settings.
- Select Products.
- Locate the Inventory Start Date setting.
- Change the date to a more recent date that does not conflict with the accounting closed period in QuickBooks Online.
- Save the settings.

Step 2: Repost the order
-
Return to the affected order and try posting it again.
-
The order should post successfully if the accounting period conflict was the cause of the error.
Step 3: Restore the original setting
After the order has been posted successfully:
-
Return to Sync Settings > Products.
-
Restore the Inventory Start Date to its original value.
-
Save the settings.
Note2: The Inventory Start Date affects how Webgility Online handles inventory-related synchronization. Make sure you restore the original date after resolving the affected order.
