How to Resolve Build Assembly Posting Issues
Category: Webgility Desktop
Overview
If a build assembly does not post for an order, the issue may occur because the required inventory quantity was not available in QuickBooks on the date the order was placed.
Even if the inventory is sufficient today, QuickBooks checks the inventory available based on the order date. To resolve the issue, you need to update the inventory history so that sufficient quantity is available on the order date.
Cause
This issue occurs when:
- The order contains a build assembly.
- The required component quantity was not available in QuickBooks on the order date.
- The inventory has since been replenished, but the historical quantity on the order date is still insufficient.
How to Resolve the Issue
1. Identify the affected order
Open the affected order in the Error tab and review the posting error.
Identify the components required for the build assembly and the quantity needed.
2. Check the inventory on the order date
In QuickBooks, check the inventory quantity for the build assembly components as of the order date.
If the available quantity was insufficient on that date, you need to update the inventory history.
3. Create a backdated purchase order
Create a purchase order in QuickBooks with a date on or before the affected order date.
Add enough quantity of the required components to ensure that sufficient inventory is available based on the order date.
Note: The purchase order must be dated appropriately so that the required inventory quantity is available when QuickBooks processes the build assembly for the affected order.
4. Repost the order
After creating the backdated purchase order:
- Return to Webgility.
- Select the affected order.
- Repost the order.
- Verify that the order posts successfully.
5. Verify the build assembly
Open the transaction in QuickBooks and confirm that:
- The order posted successfully.
- The build assembly was created.
- The correct components and quantities were used.
If the order still does not post after sufficient inventory has been made available for the order date, contact Webgility Support with the affected order number and the QuickBooks posting error.
