How to Move Webgility Desktop to a New Computer and Reconnect QuickBooks

It provides step-by-step guidance on restoring the Webgility database and reconnecting it with QuickBooks Desktop Enterprise 2022, ensuring a smooth transition with minimal disruption during server upgrades or system changes.

Step-by-Step Instructions

1. Create a Webgility Database Backup from the Old Computer

  • Navigate to System in the top menu and click on Backup.

  • When prompted, select the C:\Webgility folder as the location to save the .bak backup file.

  • The backup process will begin. The duration may vary depending on the size of your Webgility database.

  • This backup file is essential for restoring your data on the new computer.


2. Install Webgility Desktop on the New Computer

  • Log in to your Webgility account at portal.webgility.com.

  • Go to Downloads (bottom-left corner) and click Download.

  • Locate the WebgilityDownloader.zip file in your Downloads folder.

  • Right-click the ZIP file and select Extract All.

  • Open the extracted folder, right-click WebgilityDownloader, and select Run as administrator.

  • Approve any security prompts by clicking Allow or confirming the source.

  • Wait for the download to complete (time may vary based on connection speed).

  • Accept the License Agreement and click Next.

  • Choose the installation location (recommended: C:\ drive) and click Next.

  • Choose the Start Menu Folder for the shortcut and click Next.

  • (Optional) Add a desktop shortcut by clicking Next again.

  • Click Install to start the installation.

  • Wait for the installation to finish.

  • Click Finish to launch Webgility Desktop. 


3. Install SQL Server on the New Computer

You can install SQL Server in two ways:

Option A: Through Webgility Desktop

  • Open Webgility Desktop on the new machine.

  • Choose "This is a new computer, install SQL server and create Webgility database."

  • Click Continue to begin installation.

Option B: Manual SQL Server Installation

  • Download SQL Server 2022 Express Edition from the official Microsoft website.

  • Run the setup file, select Custom as the installation type, then click Install to begin downloading required files.

  • After the download, the SQL Server Installation Center will open.

    • Select New SQL Server stand-alone installation or add features to an existing installation.

    • Accept the License Terms, click Next, skip the Microsoft Update option, and click Next again.

  • During the Install Rules step, if a Firewall Warning appears:

    • Go to Control Panel > System and Security > Windows Defender Firewall.

    • Select Turn Windows Defender Firewall On or Off, then turn it off for all network profiles.

  • Uncheck Azure Extension for SQL Server and click Next.

    • Under Feature Selection, select:

      • Database Engine Services

      • SQL Server Replication

      • Local DB

    • Click Next.

  • In the Instance Configuration step:

    • Change the Named Instance to Unify.

    • Press Tab to auto-fill the Instance ID, then click Next.

    • (If upgrading SQL, use UnifyNew instead.)

  • In Server Configuration:

    • Set Startup Type to Automatic for both SQL Server Database Engine and SQL Server Browser.

    • Click Next.

  • In Database Engine Configuration:

    • Choose Mixed Mode Authentication.

    • Set username as sa and password as Webgility2011.

    • Click Next.

  • After installation completes, a Succeeded prompt will appear.

    • Click OK and close the SQL Server Installation Center.


4. Restore the Database on the New Computer

  • Copy the database backup file from your old system.

  • Paste it into the Webgility folder on your new computer.

  • Use Webgility’s restore option to upload and apply the backup.

Once restored, open Webgility Desktop and confirm that your dashboard, settings, and data are accessible.


5. Connect Webgility Desktop to QuickBooks Enterprise

  1. Go to Connections > Accounting/POS/ERP > Add Connection.

  2. Choose QuickBooks Enterprise from the drop-down.

  3. Open your QuickBooks company file and log in as the Admin in single-user mode.

  4. Press F2 or Ctrl + 1 to open the Product Information window.

  5. Copy the File Location of your company file.

  6. Paste it into the Company File Location field in Webgility and click Connect to QuickBooks.

  7. In QuickBooks, approve the Application Certificate to grant Webgility access.

  8. Click Continue in Webgility.

  9. Proceed to Order Processing Settings and configure basic options.

  10. Save your settings and complete the connection.


Final Steps

Once setup is complete:

  • Test your Sales Channel and QuickBooks connections.

  • Begin downloading and posting orders as needed.
