How to Manage Your Webgility Logins, App Updates, and integrations

 How to Change Your Webgility Password & Login Details

 Overview

Webgility uses two sets of login credentials:

  • Portal Account Login: Used for accessing account details, billing, and subscription management at portal.webgility.com.

  • Webgility Product Login: Used for accessing Webgility Desktop or Webgility Online.

 Changing one login does not automatically update the other.


🔹 Accessing the Webgility Portal

  • Go to https://portal.webgility.com

  • OR:

    • In Webgility Desktop: Click the Profile Icon (top right) > Accounts > Manage My Account

    • In Webgility Online: Click the Profile Icon > My Account


 Change Portal Login Credentials

  1. Sign in at portal.webgility.com

  2. Under the Home section, go to Profile

  3. Click Edit / Change Password to update your email address or password


 Change Product Login (Email or Password)

  1. Log in to the Webgility Portal

  2. Go to Add-ons > Users

  3. Click Edit / Change Password next to the relevant user

  4. Enter the new email or password and save


 How to Update Webgility Desktop Using “Check for Updates”

 Why It Matters

Keeping Webgility up to date helps ensure compatibility, improves performance, and introduces new features.


🔹 Step-by-Step Instructions

  1. Open Webgility Desktop and log in

  2. Navigate to Help > Terms and Privacy to check your current version

  3. Go to Help > Check for Updates


🔸 In the Update Window:

  • The new version (if available) will be displayed

  • Ensure the box for “Take Webgility database backup before proceeding” is checked

  • Choose the backup location (default: C:\Webgility)

  • Click Update

The installer will launch and begin the update process. After it's complete:

  • You'll be returned to the login screen

  • Log in again, and Webgility will automatically update your database

  • Proceed to the dashboard and verify the update under Help > Terms and Privacy

 You're now on the latest version of Webgility Desktop!


 How to Test Shopify Sales Channel Connection

🔹 Steps:

  1. In Webgility Desktop, go to:
    Connections > Sales Channels > Manage Sales Channels

  2. Click the Edit icon next to your Shopify channel

  3. Select Connect to Shopify

  4. Enter your Shopify Admin Credentials and sign in

  5. A prompt will appear: “Successfully Connected”

 Your Shopify sales channel is now active!


 How to Test QuickBooks Connection in Webgility Desktop

🔹 Step 1: Navigate to QuickBooks Connection Settings

  1. Open Webgility Desktop

  2. Go to Connections > Accounting/POS/ERP > Edit Connection


🔹 Step 2: Test the Connection

  1. Verify the QuickBooks company file path is correct

  2. Click Test QuickBooks Connection

 If the test fails:

  • Ensure QuickBooks is open

  • Close any pop-up or dialog boxes in QuickBooks


🔹 Step 3: Handle Certificate Prompt (If Required)

If a certificate prompt appears:

  1. Log into QuickBooks as Admin

  2. When prompted:

    • Select: Yes, always; allow access even if QuickBooks is not running

    • Choose Admin from the "Login as" dropdown

    • Click Continue


🔹 Step 4: Finalize

  • Click Done on the confirmation message

  • You should see: “Successfully connected to QuickBooks.”

  • Click OK, then Save

 QuickBooks integration is now verified!
