How to Manage Personally Identifiable Information (PII) in Webgility Online

It provides step-by-step guidance on securely handling, deleting, or retrieving customer data—such as names, addresses, phone numbers, and emails—when syncing or posting from Webgility Online to QuickBooks Online or QuickBooks Desktop. The article also explains how to enable automatic PII deletion and retrieve customer details for historical orders when necessary.

PII includes sensitive customer information such as:
  • Customer’s First Name

  • Last Name

  • Address 1

  • Address 2

  • Phone

  • Email

Webgility Online enables PII deletion within its system if this information has been synced or posted to QuickBooks. The deletion won't affect the data in QuickBooks.


 

Steps to enable PII:

Follow these Steps to configure PII Data deletion in Webgility Online via automation

1. You can automatically set PII data to be deleted by going to Automation> Data Protection.

 

2. Slide the Data Protection button to activate the Delete PII Data feature. Then, select the time frame of when data will be deleted. The option for Skip Deleting, if orders are not posted to accounting, can be checked as well. After you make your selections, click Save.

Retrieving Customer Details for Old Orders in Webgility Online

In some cases, you might encounter old orders within Webgility Online where the Personally Identifiable Information (PII) appears blank. If you need to retrieve the customer details for such orders to post them, you can re-download the order to populate the missing PII data.
