How to Manage Multiple Inventory Sites in Quickbooks Desktop and Prevent Posting Errors in Webgility Desktop
This article helps Webgility Desktop users resolve order posting issues to incorrect inventory locations in QuickBooks Desktop when fulfilling orders from multiple inventory sites, such as US and Canadian FBA centers. It guides users through enabling the Inventory Location Override feature to ensure accurate mapping and maintain correct fulfillment and inventory data.
Issue
You’ve added a new fulfillment location (e.g., FBA-CA for Canadian orders), but those orders are still posting to the default or incorrect inventory site in QuickBooks. This causes:

Solution Overview
By enabling the Inventory Location Override feature, Webgility Desktop will use fulfillment center data to assign the correct inventory location when posting orders to QuickBooks Desktop.
Webgility offers two methods for configuring these settings:
- Through the Posting Settings
- Within the Product Module
This guide walks you through both options so you can tailor inventory tracking based on your operational needs.
Method 1: Configure Advanced Inventory in Posting Settings
Step 1: Navigate to Posting Settings
- Open Webgility Desktop.
- Go to:
Connections > Accounting > Sync Settings
- Click the Product tab from the left-hand panel.
Step 2: Set Default Inventory Site
- Under the Advanced Inventory section, select your Default Inventory Site for the sales channel.
- This is the site where Webgility Desktop will post inventory and order transactions in QuickBooks.

Note: For Amazon connections, you can choose separate default inventory locations for FBA and FBM orders.
Step 3: Enable Multi-Location Tracking
- If you track inventory based on country, location, state, or tags, or if inventory might come from different warehouses when the default site is out of stock:
- Enable the option to track inventory in multiple locations.
- Enable the option to track inventory in multiple locations.
- Check the box for Override the inventory site.
- This ensures that Webgility ignores the default site and instead uses the mapped inventory locations from the multiple-location rules.
Step 4: Save Your Settings
- After assigning inventory sites and bins, click Save to apply the changes.
