How to Manage “Made to Order” (MTO) Products in WooCommerce via Webgility Desktop

This article helps users understand the importance of excluding “Made to Order” (MTO) products from inventory tracking between WooCommerce and QuickBooks Desktop via Webgility Desktop. Since MTO products are manufactured only after a customer places an order and are not part of pre-built inventory, including them in stock management can lead to inaccurate inventory levels, incorrect stock alerts, and unnecessary manual adjustments. This article guides you how to manage (MTO) products at your WooCommerce channel

Step-by-Step Resolution

1. Identify Affected Products in WooCommerce

  • Log in to your WooCommerce Admin Dashboard.

  • Go to WooCommerce > Products.

  • Search or filter for products that are:

    • Marked as Out of Stock, or

    • Known to be 'Made to Order' and should always be available.

2. Modify Inventory Settings in WooCommerce

Update each product to override quantity-based stock status:

  1. Click Edit on the product.

  2. In the Product Data section, go to the Inventory tab.

  3. Uncheck the box labeled Manage stock? to disable quantity-based tracking.

  4. Set Stock status to In Stock.

  5. Click Update to save changes.

4. Test Sync and Validate

  • After updating settings, re-run a sync from Webgility to WooCommerce.

  • Review the affected product page in your store:

    • Confirm that the product displays as In Stock.

    • Ensure customers can add the item to cart and proceed to checkout.

  • Verify that subsequent syncs from Webgility do not revert the status to Out of Stock.
