How to Fix Webgility Desktop Database and QuickBooks Connection Issues on Add-On PCs

This article helps Webgility Desktop users troubleshoot database connection errors encountered when using Webgility Desktop with QuickBooks Desktop on an add-on computer. These errors often occur due to insufficient Windows account permissions, as both QuickBooks Desktop and Webgility Desktop require administrative access to connect properly and manage files.

Step 1: Check Your Windows Account Permissions

  1. On the add-on computer, open the Control Panel.

  2. Go to User Accounts > Change Account Type

  3. Make sure your account shows as Administrator.

  4. If it doesn’t, either switch to an admin account or update your permissions.

🧾 Step 2: Run QuickBooks as Administrator

  1. Close QuickBooks if it’s open.

  2. Right-click the QuickBooks Desktop shortcut.

  3. Click Run as administrator.

  4. Open your company file as usual.

⚙️ Step 3: Run Webgility with Elevated Permissions

  1. Close Webgility if it’s running.

  2. Right-click the Webgility shortcut.

  3. Choose Run as administrator.

💡 Tip: To make this permanent

  • Right-click the shortcut again and choose Properties

  • Go to the Compatibility tab

  • Check Run this program as an administrator

  • Click Apply and OK

🔄 Step 4: Test the Connection

  1. Open Webgility Desktop.

  2. Start the QuickBooks connection process or refresh the accounting sync.

  3. You should now connect successfully without errors.
