How to Fix Shipping Label Generation Issues Caused by Special Characters in Webgility Desktop

This article helps Webgility Desktop users troubleshoot issues with generating shipping labels in Webgility Desktop that may arise due to special characters in customer or company names. Since many shipping carriers do not support symbols, accented characters, or emojis, this guide provides a step-by-step process to identify and resolve these character-related errors, enabling users to create shipping labels successfully.

Causes of Issue

Shipping label generation errors typically occur when:

  • Customer or company names include unsupported characters like #, &, /, %, emojis, or accented letters (e.g., é, ñ).

  • The shipping carrier's system rejects fields that contain these characters.

  • Webgility Desktop is unable to proceed with label creation due to field formatting.

Step-by-Step Instructions

1. Identify Special Characters

  • Review the error message for mentions of invalid or unsupported characters.

  • In Webgility Desktop, go to the affected order and review the Customer Name, Company Name, and Shipping Address fields.

2. Edit Customer or Company Details

  • Click Edit next to the order’s customer or shipping information.

  • Look for:

    • Accented characters (e.g., é, ü)

    • Symbols (&, /, #)

    • Emojis or decorative symbols

  • Replace or remove them:

    • ée

    • &and

    • /-

  • Click Save once changes are made.

3. Regenerate the Shipping Label

  • Retry creating the shipping label using the updated order details.

  • Confirm that the label is generated successfully without errors.

Best Practices to Prevent Future Issues

  • Avoid using special characters in customer or company data fields.

Note:
Always use standard alphanumeric characters for names and addresses to avoid rejections by shipping carriers. If issues persist even after cleanup, check for hidden formatting or characters copied from external sources.
