How to Fix Quantity Mismatches Between Sales Channels and QuickBooks Desktop via Webgility Desktop
This article helps Webgility Desktop users resolve quantity mismatches between their sales channel and QuickBooks Desktop via Webgility Desktop. It provides guidance on resyncing product data when standard sync options, such as manual SKU downloads or sales channel reconnects, do not resolve the issue.
Prerequisites
Before you begin, make sure:

You are using the latest version of Webgility Desktop and QuickBooks.

You have a stable internet connection throughout the sync process.
If you're unable to log in to Webgility, please install the latest version from portal.webgility.com.
If you're logged in, go to Help > Check for Updates in Webgility Desktop to ensure you're on the latest version.
Step 1: Reconnect Your Online Store

Open Webgility Desktop.

Go to Connections > Sales Channel > Manage Sales Channel.

Click Edit/Action next to your store, then select Test Connection.

Click Next, then Save to complete the reconnection.
Step 2: Re-download QuickBooks Data

Go to Connections > Get Latest Data and Settings.

In the QuickBooks section, click the dropdown next to Download Data.

Select Re-download All Data to pull updated QuickBooks product data into Webgility.
Step 3: Refresh Product List from Your Online Store

Navigate to Products > All Products (for your sales channel).

Click the dropdown next to the Refresh button.

Select Download from Scratch.
This will create a fresh list of items in Webgility using data from your store.
Step 4: Sync Quantities from the “Quantity Out of Sync” Tab

Once all product data is refreshed, go to Products > Quantity Out of Sync.

Run the sync from this section to align quantities between QuickBooks and your store.
Step 5: Validate Sync and Resolve Any Remaining Issues
If quantity mismatches still persist:

Go to Products > All Products > View > Mapped.

Review and update SKU mappings if needed.

Ensure the SKU names and inventory locations match exactly in both QuickBooks and your store.
After completing these steps, your product quantities in Webgility should reflect correctly across both QuickBooks and your online store.
