How to Fix Missing Transactions in Webgility Desktop After Restoring an older QuickBooks Desktop company file Backup
This article helps Webgility Desktop users resolve missing transaction issues after restoring a QuickBooks company file from an older backup. It guides users through the steps of re-downloading recent orders, and verifying transaction data, order reposting to ensure accurate reconciliation and recordkeeping via Webgility Desktop.
Step-by-Step: How to Recover Missing Transactions
1. Confirm the Backup Restore Date for Quickbooks Company file
Start by identifying when the backup was restored:
-
Note the backup's creation date.
-
Compare it with the order or transaction dates that are missing.
This helps you narrow down the exact date range for re-downloading.
2. Redownload Orders in Webgility Desktop
Webgility provides two options to download missing orders: by date range or by order ID.
Option A: Download by Date Range
-
Go to Webgility Dashboard
-
Click the dropdown on Get New Orders
-
Choose Orders by Range
-
Enter the start and end dates that cover the missing transactions
-
Click Save & Close, then Get New Orders
This will fetch all orders from the specified timeframe.
Option B: Download by Order ID
-
On the same Get New Orders dropdown, select Orders by ID
-
Enter the order number or ID (found in your sales platform)
-
Click Add for each ID you want to include
-
Click Get Orders to begin the download
Note: For some platforms like Shopify, the order ID may differ from the order number and is typically found in the order’s URL in your admin dashboard.
3. Review Integration Settings
Make sure Webgility is set to download the correct order statuses:
-
Go to Connections > Sales Channel > Settings > Download Settings
-
Select the relevant order statuses that apply to the missing transactions
-
Click Save & Continue to update your preferences
4. Monitor Download Activity
After initiating the download:
-
Review the order logs to confirm all intended orders were processed
-
Look out for any sync issues like duplicate entries or mapping errors
-
If needed, search for specific orders under Orders > Search Order to confirm they exist in Webgility
5. Verify Transactions in QuickBooks
Once the download completes:
-
Open QuickBooks and go to the Sales or Transactions module
-
Confirm that each re-downloaded order appears correctly
-
Pay special attention to transaction dates and account mappings
