How to Disable the Automatically Send Imported Invoices Feature in QuickBooks Online

QuickBooks Online is currently testing a feature that automatically sends imported invoices to customers. This feature is available to a limited group of QuickBooks Online customers. If invoices imported or posted through Webgility Online are being emailed to customers without anyone manually selecting Send, the QuickBooks Online company may have this feature enabled. This behavior is controlled by a QuickBooks Online feature and not any Webgility Online setting.

Why Are Imported Invoices Being Emailed Automatically?

 

Quickbooks Online has confirmed that automatic email delivery for imported invoices is part of a new feature being tested with a limited group of Quickbooks Online customers.

Customers included in the test may see a banner in Quickbooks Online stating: Imported invoices are now sent automatically.

 

The banner provides two options:

  • OK, got it — Enables the automatic invoice-sending feature.
  • Manage settings — Opens the Quickbooks Online settings where the feature can be turned off.

If the feature is enabled, invoices imported into Quickbooks Online may be automatically emailed to the customer associated with the invoice.


How to Turn Off Automatic Invoice Sending

If you do not want Quickbooks Online to automatically email imported invoices, follow these steps:

  • Sign in to Quickbooks Online.

  • Click Settings ⚙️.

  • Select Account and settings.

  • Select the Sales tab.

  • In the Invoice payments section, click the Edit ✏️ icon.

  • Locate the automated invoice sending for imports option.

  • Turn the option Off.

  • Click Save.

Note: According to Quickbooks Online, only the company's Master Admin or Company Admin can disable this setting.

 

If You Did Not See the Quickbooks Online Banner

You may still have the feature enabled even if you did not notice the Imported invoices are now sent automatically banner.

If imported invoices are being emailed automatically:

  1. Follow the steps above to open Settings → Account and settings → Sales.
  2. Open the Invoice payments section.
  3. Review the automated invoice-sending option.
  4. Turn it off if you do not want imported invoices to be emailed automatically.
  5. Save the changes.

The availability or location of this setting may change while Quickbooks Online continues testing the feature.


Verify the Setting

After disabling the feature, we recommend testing the workflow:

  1. Import or post a test invoice through Webgility Online.
  2. Confirm that the invoice is created successfully in Quickbooks Online.
  3. Verify that Quickbooks Online does not automatically send the invoice to the customer.
  4. Confirm that Webgility Online continues to import or post invoices normally.

Note: This Is a QuickBooks Online Feature

If Webgility Online successfully posts the invoice to Quickbooks Online but Quickbooks Online automatically emails it to the customer, the email is being triggered by Quickbooks Online.

Webgility Online does not control this Quickbooks Online automated email setting.

If the setting is disabled and invoices are still being sent automatically, further investigation with Quickbooks Online Support may be required.
