This article explains how to resolve a payout posting error in Webgility where certain orders fail to download or post to your accounting system (e.g., QuickBooks). The error prevents the correct creation of corresponding payments and is caused by running an outdated version of the Webgility desktop application.

Root Cause

  • You are running an outdated version of the Webgility desktop application , which lacks necessary compatibility updates for payout processing.

Resolution Steps

1. Upgrade Webgility to the Latest Version

  • Go to Help > Check for Updates within Webgility.

  • If an update is available, follow the on-screen prompts to install the latest supported version.

  • Restart Webgility after the update completes.

2.  Redownload the Payout

  • Navigate to Orders > Shopify > Payouts.

  • Locate the payout in question and Undo Sync (if partially posted).

  • Then:

    • Either re-download the payout using the payout ID, or

    • Click "Redownload Payout" to retrieve the most recent update available on that payout(if any).

  • Once downloaded, re-attempt to post the payout.

    • After completing these steps, the payout will successfully post to QuickBooks after these steps. If the issue persists, contact Webgility Support for further assistance.
