Common Causes

Amazon settlement posting issues are often caused by:

  • Corrupted or incomplete report files

  • Incompatible formatting in the uploaded report

  • Missing or inconsistent order data in the settlement report


Resolution Steps

 1. Identify the Affected Order

  • Review the error message shown in Webgility Desktop.

  • Copy the error message by clicking on it and pressing Ctrl + C.

  • Paste it into Notepad using Ctrl + V to reference the affected order number.


 2. Locate the Order in Webgility Desktop

  1. Navigate to the Dashboard in Webgility Desktop.

  2. Use the search function to locate the affected order in relevant sections:

    • Posted Orders

    • Archived Orders

  3. Confirm whether the order has already been posted to QuickBooks.


 3. Redownload the Affected Order

If the order is already posted:

  1. Undo Sync the order:

    • Right-click on the order.

    • Select Undo Sync from QuickBooks.

  2. After undoing, right-click the order again and choose Re-download Order.


 4. Undo Sync and Redownload the Settlement Report

If the settlement report is partially posted:

  1. Use the Undo Sync option to reverse the incomplete posting.

  2. Re-download the settlement report in Webgility Desktop:

    • You may also delete the existing report and trigger a fresh download.

    • Alternatively, use the Direct Import option (refer to the specific help article for steps).


 5. Repost the Settlement Report

Once the affected order and report have been redownloaded:

  1. Go to the Settlement Reports section.

  2. Repost the settlement report.

Note:  If the above steps are followed correctly, the report should now post to QuickBooks successfully.


Final Confirmation

After reposting:

  • Double-check that the settlement appears under Posted status in Webgility Desktop.

  • Confirm that no errors remain.
