How to correct currency errors for Amazon orders in Webgility Desktop

Amazon orders may post in the wrong currency, especially when customer information or account mappings in QuickBooks and Webgility are not correctly configured.

This issue typically occurs when:

• A QuickBooks sales receipt references a customer with a different currency than the home currency or the transaction currency.

• Customer currency settings in Webgility's posting configuration are incorrect or outdated.

• Deposit and Accounts Receivable (AR) accounts are not correctly mapped to the order currency.
  
  

  Resolution Steps

   Step 1: Check Customer Currency in QuickBooks

  1. Open QuickBooks.

  2. Locate the customer linked to the order.

  3. Verify that their currency setting matches:

     • The home currency
       OR

     • The transaction currency of the sales receipt

  If there's a mismatch, create a new customer in QuickBooks with the correct currency.

  Step 2: Check Sales Receipt Currency

  1. Review the sales receipt generated for the order.

  2. Ensure the currency matches the transaction currency and all amounts are recorded accurately.

  Step 3: Map Currencies to Accounts in Webgility

  For orders in multiple currencies (e.g., USD, CAD, MXN), Webgility must map each currency to matching accounts in QuickBooks.

  To map customer currencies:

  1. Open Webgility Desktop.

  2. Navigate to:
     Connection > Accounting > Sync Settings > Customers > Map Customer Currency

  3. For each currency (USD, CAD, MXN, etc.):

     • Assign a Deposit Account in the same currency.

     • Assign an AR Account in the same currency.

  Example:

  • For USD orders: Use a USD deposit and USD AR account

  • For CAD orders: Use a CAD deposit and CAD AR account
