How to Configure Sales Tax Settings in Webgility Desktop

This article helps Webgility Desktop users configure sales tax settings in Webgility Desktop to accurately record sales tax from their sales channels in QuickBooks Desktop. It provides a recommended basic setup tailored for businesses that do not use the QuickBooks Desktop tax engine, helping to simplify the complexities of managing sales tax across different business structures, product types, and tax jurisdictions.

Step-by-Step Instructions to Configure Sales Tax Settings

1. Navigate to Sales Tax Settings in Webgility

  • Open Webgility Desktop

  • Go to: Connections > Accounting/POS/ERP > Sync Settings

  • Click on the Sales Tax tab

2. Enable “Record Sales Tax as a Line Item”

  • Check the box labeled “Record Sales Tax as a Line Item in QuickBooks”

  • This bypasses the QuickBooks tax engine and uses fixed line items instead

  • Ensures the tax collected in your sales channel exactly matches what’s recorded in QuickBooks

Note: This is particularly helpful if your tax rates are managed in Shopify, BigCommerce, or other sales channels rather than in QuickBooks.

3. Select Your Taxable Sales Tax Item

  • Under “Select a Sales Tax Line Item,” choose the item used to record taxable sales

  • This line item must already exist in QuickBooks

  • You can verify this from your QuickBooks item list under type: Other Charge

4. Select Your Non-Taxable Sales Tax Item

  • Under “Select Your Non-Taxable Sales Tax Item,” choose an item for tax-exempt orders

  • This will be used when no tax is collected but Webgility still needs to complete the transaction mapping

5. Configure Mixed-Tax Goods Settings (Optional)

  • If you sell both taxable and non-taxable products:

    • Check the box “I sell both taxable and non-taxable items”

    • Select the appropriate line items for Taxable and Non-Taxable products

  • These settings are ideal for simpler tax reporting and reconciliation needs.
