Fixing Shopify Payout Posting Errors Caused by 'Unknown' Payment Method in Webgility Desktop

This article is for Webgility Desktop users who are facing Shopify payout posting failures due to an "unknown" payment method. The issue typically arises when new or unmapped payment methods from Shopify are not properly configured in Webgility Desktop. The guide walks users through checking error logs, updating payment method mappings, and reposting payouts to restore accurate syncing with QuickBooks Desktop.

Overview

If you're seeing errors while trying to post Shopify payouts in Webgility Desktop, and the error mentions an "Unknown" payment method, it usually means that the payment method for some transactions hasn't been mapped correctly. Here’s how to fix it quickly.

What’s Happening?

  • Shopify payouts are failing to post in Webgility.

  • The error mentions something like “Unknown payment method.”

  • This usually happens when a new or unmapped payment method appears in your Shopify transactions and isn't yet linked to your accounting settings in Webgility.

How to Fix It

Step 1: Review the Error

  • Open Webgility Desktop.

  • Go to the Payout Posting screen.

  • Look for any entries referencing an error due to an "unknown payment method."

Step 2: Check Payment Method Mapping

  • Go to Sync Settings > Accounting > Payment Methods Mapping.

  • Look through the list for any payment method labeled "Unknown" or left unmapped.

Step 3: Map the Payment Method

  • Add Unknown method.

  • Choose the correct payment method from your accounting system (e.g., “Shopify Payments” or “Bank Deposit”).

  • Save your changes.

Step 4: Retry the Payout

  • Return to the Payout Posting screen.

  • Repost the failed Shopify payouts.

  • The sync should now complete successfully using the correct payment method.

After You’re Done

  • Double-check that all payouts are now posting correctly.

  • Going forward, make sure to map any new payment methods as soon as they show up in Shopify. This helps prevent future errors.

Quick Note

This fix doesn’t require any software update—just a quick settings check and edit inside Webgility Desktop. Once mapped correctly, your payouts should sync smoothly.
