You may encounter the error "Payment Creation Failed" during the final step of posting Amazon Settlement Reports or Shopify Payout Reports in Webgility Desktop. This typically occurs when payment-related configurations are missing or incorrect in your accounting setup.

Root Cause

This error arises during the payment posting step, often due to:

• Outdated or unsynced QuickBooks data

• Misconfigured or unmapped Expense and Refund accounts in Webgility

Step-by-Step Resolution

Step 1: Download the Latest QuickBooks Data

1. In Webgility, go to Connections

2. Click on Get Latest Data and Settings

3. Select QuickBooks Data to sync the latest accounts and configuration from QuickBooks

Step 2: Verify Expense and Refund Account Settings

1. Navigate to Connections > Accounting > Sync Settings

2. Go to the Expenses and Fees section

3. Review each Expense Group (e.g., Fees, Refunds, Shipping):

   • Click Setup for each group

   • Ensure correct QuickBooks accounts are selected for each category

   • Click Save after verifying each group

4. After all groups are verified, click Save & Close

Step 3: Retry Posting the Report

Return to the Amazon Settlement or Shopify Payout screen and attempt to post the report again. The error should no longer appear if all accounts are properly configured.
