Fix Error: "QuickBooks does not have enough components on hand to build this assembly item. List of Item Name which failed in build assembly" when posting Amazon settlement reports
Step-by-step instructions to fix inventory assembly errors when posting Amazon settlement reports to QuickBooks Desktop.
Overview
Posting an Amazon settlement report fails at the posting-orders step when QuickBooks reports that it does not have enough components on hand to build an assembly item. The settlement is not posted until the component shortage is fixed in QuickBooks.
Applies to: Amazon stores with settlement report posting to QuickBooks Desktop, where an ordered item is an inventory assembly.
Error message: QuickBooks does not have enough components on hand to build this assembly item
What the error looks like
The error appears at the posting-orders step, after the settlement report has been downloaded.
Why it happens
An item in the settlement report is an inventory assembly in QuickBooks. QuickBooks only lets a sale of an assembly go through when enough of each component is on hand to build it. If any component quantity is short, QuickBooks rejects the transaction and the posting stops with this error.
How to fix it
- Note the assembly item named in the error message at the posting-orders step.
- In QuickBooks, open the item list and open that assembly item. Review its components and the quantity of each one needed per assembly.
- Check the quantity on hand of each component. Find the component that is lower than the quantity the posted orders need.
- Bring the component up to the right quantity. Record the purchase or receipt of the stock (bill or item receipt), or correct the count with an inventory adjustment if the stock is already on the shelf but missing from QuickBooks.
- Optional: if you build assemblies ahead of time, use Build Assemblies to build enough of the finished item for the orders being posted.
- In Webgility desktop, now redownload the QuickBooks Items by navigating to Connections > Get latest Data and Settings
- Return to the settlement report and post it again. The posting-orders step should now complete without the error.
If the error names a different component after you fix the first one, repeat steps 3 to 6 for it.
Preventing it next time
- Keep component quantities in QuickBooks current by entering purchases and inventory adjustments before you post settlements.
- Review assembly items before posting a large settlement report, since one short component blocks the whole posting.
- Build assemblies in advance if your workflow depends on pre-built stock.
