How to Download Missing Amazon Settlement Reports in Webgility Desktop

Download missing Amazon settlement reports in Webgility Desktop by running Get Settlement Report By Range and setting the Settlement Start Date to a day before the first missing report.

Overview

Webgility Desktop downloads Amazon settlement reports as Amazon issues or reissues them. When a report is missing after you click Get New Reports, you can retrieve it by running Get Settlement Report By Range and setting the Settlement Start Date to a date before the first missing report.

When This Applies

This applies if you clicked Get New Reports but a known settlement is still missing from the Settlement tab, Amazon Seller Central shows the settlement is available on their side, and the missing settlement sits before the most recent one already in Webgility.

Why This Happens

By default, Get New Reports uses the Settlement Start Date of the most recent settlement already in Webgility Desktop. Any report Amazon issued with a start date before that filter is skipped. Amazon also reissues some settlements as new reports later, which have availability dates after the latest download run but settlement start dates earlier than the Webgility cutoff.

Important Note: The Settlement Start Date must be changed on each By Range run. Leaving it on the auto-filled latest date filters out exactly the settlements you are trying to retrieve.

Steps to Download the Missing Reports

Step 1: Open Webgility Desktop and go to Amazon >> Orders >> Settlement Report, on the bottom left click on white arrow beside Get Reports, select Get Settlement Report By Range.

Step 2: Set the Availability Date range to cover when Amazon issued or reissued the report, and set the Settlement Start Date to a day before the first missing report (see How to Download Amazon Settlement Reports for the dialog layout).

Step 3: Click Get Reports and wait for Webgility to confirm the download.

Step 4: If some reports are still missing because Amazon reissued them under a different availability window, repeat Step 2 with a new Availability Date range and the same Settlement Start Date.

Step 5: Verify the missing reports now appear with their Settlement IDs, start dates, and end dates.

Key Recommendation

When Amazon reissues settlements, run Get Settlement Report By Range twice: once with the current Availability Date range for recent reissues, and once covering the earlier window that holds the original start dates. This catches both the first copy and the reissued copy and keeps your clearing account reconciled (Set Up Amazon Clearing Accounts for Webgility Desktop Settlement Posting covers the posting side).
