Configuring Default Site and Bin Posting for Order Postings in Webgility Desktop

This article helps Webgility Desktop users manage default inventory site and bin location posting for orders through Webgility Desktop. It explains the related settings and their configuration.

Recommended Setup

To ensure correct bin posting, follow these steps:

1. Enable Advanced Inventory in QuickBooks

Before configuring anything in Webgility, make sure the Advanced Inventory feature is enabled in QuickBooks Desktop.

Note: Once Advanced Inventory is enabled in QuickBooks, it cannot be turned off.

2. Log in as Admin on the Same Machine

Make sure you're logged into QuickBooks as the Admin user on the same system where Webgility Desktop is installed.

3. Refresh Accounting Data in Webgility

In Webgility Desktop, refresh your accounting data to ensure you're working with the latest information from QuickBooks.

4. Set Up Inventory Site in Webgility

  • Go to Connections > Accounting/POS/ERP > Sync Settings

  • Under the Products section, look for the option:
    “Do you have QuickBooks Advanced Inventory add-on?”

  • Select your default inventory site. This will ensure that transactions post to QuickBooks with the designated inventory site, even when no bin is specified.
