Automatic Payment Status Sync from QuickBooks Online to Shopify via Webgility Online
This article helps Webgility Online users automatically sync payment status updates from QuickBooks Online to their Shopify store. It ensures that when an invoice is marked as paid in QuickBooks, the corresponding Shopify order is also updated, maintaining consistency across platforms.
Overview
Webgility Online now supports automated payment status sync from QuickBooks Online to Shopify. When an invoice—created via Webgility Online—is marked as Paid in Full in QuickBooks, the corresponding Shopify order will automatically reflect that payment status.
Note 1: This feature applies only to invoice-type transactions for Shopify B2B orders.
Note 2:The payment status will sync only when the full invoice amount is received in QuickBooks.

How to Enable the Sync
Go to Webgility Online > Sync Settings > Orders.
Set the transaction type to Create Invoices.
Navigate to the Payment section.
Enable the toggle: “Sync payment status to Shopify when invoice is paid in QuickBooks.”
Click Save.
How It Works
When payment is received for an invoice in QuickBooks Online and it’s marked as Paid in Full, Webgility Online detects this update.
The corresponding Shopify B2B order is then automatically updated to Paid.
Go to the Shopify order details and refresh to view the updated status and payment history.
