How to Download Layby Orders from Lightspeed into Webgility Desktop?

This article helps Webgility Desktop users troubleshoot issues with downloading Lightspeed Layby orders into Webgility Desktop. It explains how to adjust Layby status settings or enable order updates to ensure completed Layby orders download correctly and their status updates sync properly.

Overview:

If you are having trouble downloading Layby orders from Lightspeed into your Webgility Desktop application, there are two different approaches you can try to resolve the issue.

 

 The solutions outlined below are applicable in the following scenarios: 

  • Layby status orders are not downloading correctly.
  • Completed Layby status orders are missing from Webgility.
  • Order status updates are not syncing properly between Lightspeed and Webgility.
  • You need to modify the settings that control how Layby status orders are downloaded into Webgility.

Follow these solutions to resolve Layby order download issues -

Solution 1: Adjust Layby Status Settings

  1. Navigate to Connections.
  2. Select Sales Channels > Settings.
  3. Under Download Settings, locate the order status setting and change it from "Layby Completed" to "Layby".
  4. Click Save to apply the changes.

Solution 2: Enable Order Updates.

  1. Navigate to Connections > Sales Channels > Settings
  2.  Locate the Check for Order Updates After Download setting under the Order Processing section.
  3.  Set "Check the Sales Channel for any order updates after downloading to Webgility?" to Yes
  4. Select the required predefined conditions based on your business requirements.
  5. Click Save, and then select Save and Close to apply the changes.

Notes:

  • Only one of the solutions may be required to resolve the issue.
  • We recommend trying Solution 1 first before proceeding to Solution 2.
  • After making any changes, monitor the order download process to verify that Layby orders are downloading and updating correctly.

Additional Information:

  • Layby orders are handled differently than standard orders

  •  The selected order status settings determine which Layby orders are downloaded into Webgility. 

  •  Enabling order updates ensures that any status changes made in Lightspeed after the initial download are captured and reflected in Webgility.
